RIM Architects (RIM) has an opening for a proficient and creative Proposal Specialist who will focus on federal proposals and multiple public sector agency proposals. The position may be remote or one of our five locations: Anchorage, AK; San Francisco, CA; Tustin, CA; Hagatna, GU; and Honolulu, HI. Our marketing department promotes a variety of project types and geographic regions, creating new and interesting opportunities on a regular basis. Summary

The Proposal Specialist role is an integral position primarily responsible for assisting with creation and production of proposals for all RIM locations in support of winning new work. This position reports to the VP of Marketing and requires a high level of collaboration with the proposal team including Managing Principals, Principals and Project Managers. The ideal candidate will be self-assured, organized, and flexible–someone who enjoys the challenge of creating new processes and working with multiple locations in diverse time zones. A positive and cheery disposition will fit right in with the team at RIM.

 

QUALIFICATIONS:

  • Ability to work legally in the United States without restrictions
  • Bachelor’s Degree in Marketing or Communications preferred, with minimum 5 years of experience; or without a degree 7+ years of comparable experience with proposal writing
  • High level of experience with the federal proposal process including SF330s and Department of Defense Forms
    • Minimum 3 years of recent federal proposal experience
  • Experience in the A/E/C industry highly preferred
  • Proficiency with Adobe CC and MS 365 required; knowledge of Deltek Vantagepoint, or another CRM a plus
  • Ability to collaborate with the proposal team and remote staff
  • Skill set to complete the proposal process for multiple office locations utilizing team members across multiple time zones
  • Proactive, organized self-starter who demonstrates flexibility, dependability, and maintains composure under pressure
  • Ability to professionally interact and collaborate with senior leadership in all locations, subconsultants, clients
  • Excellent written and verbal communication skills, including proficiency in grammar, punctuation, and spelling
  • Proven ability to prioritize tasks and work efficiently managing multiple deadlines
  • Attention to detail, pride in work, and excellent organizational skills
  • Ability to work independently and within a team environment
  • Ability to meet multiple deadlines and be available for overtime as needed
  • Ability to strategize, collaborate, and tell the RIM story while following strict requirements of RFPs
  • Ability to manage data and enhance the process for gathering the most accurate information to use in proposals

RESPONSIBILITIES:

 

  • Research leads, clients, consultants, and other information for winning work
  • Develop expertise in the Federal pursuit process utilizing tools such as GovWin and Sam.gov
  • Contribute to the process of creating excellent proposals
  • Ensure quality proposals are completed on time
  • Report on progress of proposals with Opportunity Owner and Marketing Department
  • Contribute to the process for data collection/filing required for resumes, project details, and narratives 
  • Collaborate with administrative and technical staff to collect information for proposal requirements
  • Utilize Deltek VantagePoint for pursuits, projects, staff, and client maintenance 
  • Develop and manage proposal workplan and schedules
  • Produce drafts and final versions of electronic and hard copy proposals for QC
  • Attend virtual meetings and take notes for distribution
  • Assist with project interview preparation 
  • Ensure post-proposal debriefs are completed
  • Complete proposal close-out process
  • Collaborate with Marketing Team on other communication initiatives and miscellaneous tasks
